Domain, Hosting & Website Services Policy
How domains, hosting, maintenance, backups, out-of-scope work and third-party software are handled across our subscription plans.
This document describes our subscription-based services. Company-specific details appear as bracketed placeholders and are completed before publication. This content is a commercial starting point and should be reviewed by a qualified attorney.
1. Scope
This policy supplements the Terms of Service of [COMPANY LEGAL NAME], trading as [BRAND NAME], and describes the operational rules for domain, hosting, website and maintenance services. Where your plan, order or a written agreement is more specific, that document controls.
2. Domain Registration
Domain registration, transfer and renewal are subject to the rules, policies, pricing and availability of the applicable registrar and domain registry, including verification requirements and dispute procedures such as UDRP.
Availability is not guaranteed until registration is confirmed by the registry. You are responsible for providing accurate registrant details; inaccurate or unverified details can result in suspension by the registrar or registry.
3. Domain Ownership and Control
Where a domain is registered using your registrant details, you are the registrant of record and your rights are governed by the registrar's and registry's policies.
Where a domain is registered or held through our account on your behalf as part of a bundled plan, we manage it for you during your Subscription. On request, and subject to registrar rules, transfer eligibility periods and any outstanding amounts, we will support a transfer to a registrar account you control.
Registrar transfer locks, waiting periods and authorisation codes are controlled by the registrar, not by us. Specific arrangements for your domain are set out in your order or in [DOMAIN OWNERSHIP ARRANGEMENT].
4. Domain Renewal
Domains must be renewed to remain active. You are responsible for keeping your contact and payment information current so that renewals can be processed.
If a renewal payment fails or is declined, a domain may expire and enter redemption or deletion phases defined by the registry. Recovery may not be possible, and where possible may involve registry redemption fees. Expiry and recovery timelines are set by the registry, not by us.
5. Hosting
Hosting is provided subject to reasonable availability and to routine or emergency maintenance, and depends on third-party infrastructure providers.
We do not guarantee uninterrupted or error-free service, and we do not publish an uptime percentage unless a separate service level agreement expressly provides one. Where a scheduled maintenance window is likely to affect availability, we aim to give reasonable advance notice.
Resource use is subject to the Acceptable Use Policy and the allocation described in your plan.
6. Website Maintenance
Where your plan includes maintenance, it generally covers:
- Core, theme and plugin updates for software we installed
- Uptime and basic security monitoring
- Security patching and malware remediation efforts
- Troubleshooting of faults in work we delivered
- Reasonable content edits and minor changes described in your plan
Maintenance requests are handled during the support availability described in your plan. Urgent issues affecting site availability are prioritised.
7. Out-of-Scope Work
The following are examples of work outside standard maintenance, which may be quoted and charged separately:
- Complete redesigns or rebuilds
- Major new functionality or additional page templates beyond your plan
- Custom application or plugin development
- Extensive content creation, copywriting, photography or video production
- Third-party integrations, including CRM, ERP, booking or payment integrations not included in your plan
- Custom programming, data migration or recovery work outside your plan
- Repair of issues caused by changes made by you or by third parties you authorise
We will confirm scope and any additional cost in writing before starting out-of-scope work.
8. Customer Content and Access
You are responsible for the accuracy, legality and licensing of the content, images, logos, fonts and data you supply, and for ensuring your website meets any disclosure, consent or licensing requirements applicable to your industry.
You are responsible for safeguarding credentials you hold and for the actions of users you grant access to. Please tell us promptly if access should be revoked.
9. Backups
Backups are provided as described in your plan: [BACKUP FREQUENCY AND RETENTION]. Backups are intended as an operational convenience and are not guaranteed to be complete, current, or restorable in every scenario.
You should maintain independent backups of critical content, data and credentials. Where restoration is possible, we will make reasonable efforts to assist; extensive recovery work may be treated as out-of-scope.
10. Third-Party Software
Websites commonly rely on third-party software such as WordPress core, themes, plugins, fonts, APIs and external services. These are governed by their own licences, terms, pricing and support limitations.
Some third-party software requires paid licences or subscriptions to receive updates. Where such a licence lapses, features may stop working, and we cannot resolve defects in software we do not control. If a third-party component is discontinued or becomes insecure, we may replace it with a reasonable alternative.
11. Migrations and Cancellation
On cancellation or termination, hosting and maintenance end and your website may be taken offline after a reasonable period. Please request an export of your website files, database or content before that date.
We will provide reasonable, commercially standard assistance with a migration where amounts due have been settled. Extensive migration support may be quoted separately.
